Privacy policy
Last updated 14 October 2026.
This policy explains what personal information The Print Shop collects, why we collect it, who we share it with and what your rights are.
1. Who is responsible for your information
The Print Shop is a trading name of First Essential Holdings Ltd, company number 15619967, registered office 10 Montague Place, Worthing, West Sussex, BN11 3BG. We are the “controller” of your personal information under UK data protection law (the UK GDPR and the Data Protection Act 2018).
For any privacy question or request, email info@theprintshop.info or write to us at the address above.
2. What we collect
- Your account: your name, email address and password. We store passwords in a scrambled (hashed) form, so we cannot read them.
- Your orders: your billing and delivery addresses, phone number, the products and options you chose, and your order history.
- Your artwork: the files you upload or create with “Design it online”. These may include personal information, such as your name, phone number, email address or photos.
- Payments: our payment provider processes your card details. We do not see or store your full card number. We receive confirmation that you have paid, plus limited details such as the card type and last four digits.
- Messages: what you send us through the contact form or by email: your name, email address and message.
- Technical information: your IP address and browser type, which our web server records to keep the site secure, and the cookies listed in our Cookie policy.
What you must give us. To open an account and place an order we need your name, email address, billing and delivery address, phone number and your artwork. We need them to make and deliver your order, and some of them for our tax records. If you do not give them to us, we cannot take your order. Everything else, such as using the contact form, is up to you.
3. “Design it online”
When you use our online designer, the details you type and any logo you add stay in your web browser while you design. Your text details are remembered only in that browser tab, so you do not lose them if the page reloads. They are cleared when you close the tab. Nothing is sent to us until you choose Use this design. At that point the finished print file, with the details on it, is uploaded and attached to your order.
4. Why we use it and our legal basis
| What we do | Legal basis |
|---|---|
| Take, print and deliver your order, send order emails, and deal with returns and complaints | To perform our contract with you |
| Run your account | To perform our contract with you |
| Keep tax and accounting records | To meet our legal obligations |
| Keep records so we can handle reprints, complaints and legal claims | Our legitimate interest in dealing with claims fairly |
| Answer your messages and quote requests | Our legitimate interest in replying to people who contact us (or steps you ask us to take before a contract) |
| Prevent fraud and keep the website secure | Our legitimate interest in protecting our customers and our business |
We do not send marketing emails. If we ever want to, we will ask for your consent first.
We do not sell your personal information. We do not make decisions about you by purely automated means.
5. Who we share it with
We share only what each provider needs to do their job:
- Our print and delivery partner receives your order details, your delivery name, address and phone number, and your artwork, so that they can print and deliver your order.
- Couriers receive your delivery details to bring you your parcel.
- Our payment provider processes your card payment and helps prevent fraud.
- Our website hosting and technical service providers host and run the website and our online shop, and help keep it secure.
- Our professional advisers (for example, our accountants), when needed.
- Authorities, such as HMRC or the police, where the law requires it.
Some product images on our site are loaded from our print partner’s image service. When your browser loads them, that service sees your IP address.
6. Transfers outside the UK
Some of our providers process information outside the UK, for example in the European Economic Area or the United States. When they do, we make sure your information is protected as UK law requires. We rely on UK “adequacy” regulations where they exist: for the European Economic Area, and for providers in the United States that are certified under the UK Extension to the EU-US Data Privacy Framework. Otherwise we use the approved contract terms (the UK International Data Transfer Agreement or Addendum). You can ask us for a copy of these safeguards.
7. How long we keep it
- Orders and invoices: 6 years after the end of the financial year of the order, as required by tax rules.
- Your account: until you ask us to close it, or after 3 years without an order or sign-in. Order records are then kept as above.
- Artwork files: 12 months after the order, so that we can deal with reprints and claims. After that we delete them.
- Messages and quote requests: 2 years.
- Cookies: as listed in our Cookie policy.
8. Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong;
- ask us to delete your information, unless we have to keep it (for example, for tax records);
- ask us to restrict how we use it;
- ask us to transfer information you gave us to you or to another organisation.
Your right to object: where we use your information on the basis of our legitimate interests, you can object at any time, and we will stop unless we have compelling grounds to continue.
To use any of these rights, email info@theprintshop.info. We will reply within one month.
If you want to complain about how we use your information, email info@theprintshop.info with “Data protection complaint” in the subject line. We will acknowledge it within 30 days, look into it, and tell you the outcome without undue delay. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint, helpline 0303 123 1113. The ICO usually expects you to raise the matter with us first.
9. Keeping it safe
Our website uses an encrypted (HTTPS) connection. Access to customer information is limited to the people and providers who need it to fulfil your order.
10. Children
Our shop is not aimed at children. We do not knowingly collect information from anyone under 16.
